Job Title: Administrative Assistant
Hours: Approx 20 hours/week. Flexibility of work time between 9-5pm Monday-Thursday, with some evenings and weekends for events
Compensation: $25-$35/hour DOE, with potential for growth
Location: Petaluma, CA (Ideally in office, option for some remote work)

Roles & Responsibilities:
As a Program Coordinator, you will play a crucial role in supporting our day-to-day operations and community outreach efforts. Key responsibilities include:
Database Management: Maintain and update our volunteer and community partner database.
Event Coordination: Coordinate event logistics, including scheduling meetings and booking venues as needed. Update event planning spreadsheets, as needed. Provide on-site support during events by managing check-in, liaising with partners, and ensuring smooth event execution.
Volunteer Management: Coordinate and oversee volunteer involvement for events. Help with the Cool Block Program, including recruitment, onboarding, training, scheduling, supervision, and ongoing communication to ensure a positive and effective volunteer experience.
Donation Reporting: Track and report on monthly donations, ensuring accuracy and timely updates.
Social Media Management: Create content for Instagram, Facebook, and LinkedIn
Website Management: Update the Cool Petaluma website (SquareSpace) and create event pages on Donorbox.
Staff Meetings: Attend weekly in-person staff meetings to provide updates and collaborate on projects.
Skills & Qualities:
The ideal candidate will be:
Detail oriented and have strong organizational skills.
Proficient in Google Suite (Docs, Sheets, Gmail).
Comfortable working with CRM systems and other digital tools such as Jotform, Mailchimp, Canva, Donorbox and Squarespace.
A team player with excellent communication skills in person, over the phone, and via email.
Requirements:
Ability to work in-office 2-3 half days/week, and specifically for weekly Monday staff meetings.
Flexibility to work some evenings and weekends for events, as required.
Bonus Points for:
Living in Petaluma and familiarity with the local community.
An eagerness to engage with community partners.
Graphic design skills (experience with Canva a plus).
Proficiency in Spanish.
